Overview

The Stamp Wallet is where you manage every stamp used in your contracts. You can view your stamp inventory by state and denomination, buy e-stamps, request physical stamp papers, upload stamps you already hold, organise stamps with labels, restore blocked stamps, and track your wallet spend.

How to Access the Stamp Wallet

Click the wallet icon in the top navigation bar. This opens the Stamp Wallet Inventory page.

Inventory Page

At the top right of the page you will find:

  • Wallet balance button: shows your current wallet balance. Click it to open the Wallet panel.

  • Get Stamps button: opens the options for adding stamps to your wallet.

Below these, four summary cards show the state of your stamps:

The number of stamps ready to use, and how many states they cover

Reserved / in use

Stamps held against active contracts

State Inventory

The State Inventory table lists your stamps grouped by state and denomination, with these columns:

Use the arrows next to the page count to move between pages.

Filtering the List

Click the filter icon to open the filter panel. Choose a state or a stamp duty, select IS or IS NOT, and click Show Results. Click Reset Filters to clear them.

Use the All Entities dropdown to show only the stamps assigned to a particular label.

Stamp Details

Click any row in the State Inventory table to open the details for that state and denomination. The header shows the state and denomination, the total number of stamps, and the date of the oldest purchase. Click Inventory at the top left to go back.

The page has four tabs, Open, Reserved, Used, and Blocked, each showing the number of stamps with that status. Each stamp is listed with these columns: Stamp Number, Labels, First Party Name, Second Party Type, Purpose, Stamp Date, and Actions. Use the Show dropdown to change the number of rows per page.

In the Actions column you can:

  • Click the download icon to download the agreement

  • Click the eye icon to view the stamp details

  • Click the bin icon to delete the stamp. This is available on the Open tab, for stamps that were added manually.

Bulk Actions

Tick the checkbox next to one or more stamps, or the checkbox in the table header to select all of them. A toolbar appears above the table showing how many stamps are selected.

The available actions depend on the tab:

Click the X next to the selected count to clear your selection.

Stamp Labels

Labels let you categorise stamps by project, department, or team, so it is easier to track how your stamps are being used.

Creating and Managing Labels

  1. On the Inventory page, click the All Entities dropdown at the top right of the State Inventory table.

  2. The dropdown lists your existing labels. To create a new one, type a name in the Add entity label field and click Add.

  3. To delete a label, click the bin icon next to it.

Select a label from this dropdown at any time to filter the inventory to that label.

Assigning a Label to a Stamp

  1. Click a row in the State Inventory table to open the stamp details.

  2. In the Labels column, click the dropdown next to a stamp. Stamps without a label show + Add Label.

  3. Select the label you want to assign.

To label several stamps at once, tick them and click the Assign Label icon in the toolbar above the table, then choose the label. You can assign labels on the Open, Reserved, and Used tabs.

Removing a Label from a Stamp

Click the dropdown in the Labels column next to the stamp and select Remove label.

Getting Stamps

Click Get Stamps at the top right of the Inventory page. The panel shows three ways to add stamps to your wallet.

Buy e-Stamp Instantly

Use this option for states that support SHCIL or CIL e-stamping. Stamp duty is paid from your wallet and the stamp reaches your repository in under a minute. For the list of supported states, see Stamp Procurement and Parameters.

  1. Click Buy e-Stamp Instantly.

  2. In the Purchase E-Stamp form, fill in the required fields (marked with *):

    • Stamp details: State of issue, Stamp duty amount, and Consideration amount

    • First party (pays for the stamp): Name, Phone number, Email address, Locality, Street address, State, City, and PIN code

    • Second party (counterparty): Name, Locality, Street address, State, City, and PIN code

  3. Click Continue to summary and follow the prompts to confirm the purchase.

Ask Legistify To Pre-Procure

Use this option for states without e-stamping. Legistify buys physical stamp papers in bulk and ships them to you, typically within 5 to 7 working days.

  1. Click Ask Legistify To Pre-Procure.

  2. In the Order Traditional Stamp Papers form, fill in the required fields. Each request is for multiple stamps of a single denomination for one state.

    • Stamp details: State of issue, Stamp duty, and Number of stamps

    • Agreement details (what gets printed on the stamp papers): First party name, Second party type, Purpose of agreement, Stamp type, and Description for stamp paper (up to 60 characters)

    • Delivery details: Receiver’s name, Phone number, Address, State, City, and PIN code

  3. Click Continue to summary and follow the prompts to submit your request.

The Legistify team is notified and procures the stamps on your behalf. You can track the order in Requests & Orders.

Upload Stamps You Already Hold

Use this option to add stamps you already have, so allocation and usage stay tracked in your wallet. Choose Single stamp to upload one stamp paper, or Bulk upload to add many stamps of one state and duty.

Single stamp

  1. Click Upload Stamps You Already Hold, then select Single stamp.

  2. In the Add stamp manually form, upload a scanned copy of the stamp paper in PDF format under Stamp document. Legistify reads the document and fills in the stamp details, including the stamp number and issue date. Review the fields and correct anything that is wrong.

  3. Complete the remaining required fields: State of issue, Stamp duty, First party name, Second party type, Purpose of agreement, Stamp type, and Description for stamp paper (up to 30 characters).

  4. Click Add stamp.

Bulk upload

  1. Click Upload Stamps You Already Hold, then select Bulk upload.

  2. In the Add stamps in bulk form, fill in the details that are common to every stamp in the batch:

    • Stamp details: State of issue, Stamp duty, Number of stamps, and Issue date

    • Agreement details: First party name, Second party type, Purpose of agreement, Stamp type, and Description for stamp paper (up to 30 characters)

  3. Click Continue to CSV upload.

Requests & Orders

Click Requests & Orders at the bottom of the Get Stamps panel to track all open purchases and procurement orders.

The table shows Stamps Details, First Party, Second Party, Purpose, Requested On, and Actions. In the Actions column:

  • Click the eye icon to view the full details of a request

  • Click the clock icon to open the Request Trail, which expands under the row and lists each step with who did it and when. For example: “Stamp document fetched from SHCIL successfully”.

Some requests carry a status badge. Pending (2nd Party) means the request is waiting for action from the second party before the stamp can be processed.

Success (2nd Party) means the second party step is complete.

Blocked Stamps

A stamp becomes blocked when a signing request is cancelled for an agreement that already has the stamp attached. The stamp then moves to the blocked bucket in your wallet.

The Blocked, needs review card shows how many stamps are blocked and the total value locked. To restore them:

  1. Click review & restore on the card.

  2. In the Blocked Stamps panel, each blocked stamp is listed with its number, state, denomination, and label.

  3. Click Restore next to a stamp to return it to your available inventory.

Wallet

Click the wallet balance button on the Inventory page to open the Wallet panel.

Balances by Label

The table at the top shows how your stamps and spending are split across labels:

  • Entity: each label, plus an Unlabeled row for stamps without a label

  • Open stamp value: the value of unused stamps

  • Spent this quarter: the amount spent in the current quarter

  • Total: the combined figures across all labels

Recent Transactions

Below the table, Recent transactions lists your latest wallet debits. Each entry shows the description, date, reference number, the amount debited, and your balance after the transaction. Click the download icon to export the list.

Conclusion

The Stamp Wallet brings all your stamp activity into one place. Use the Inventory page to monitor available stamps, Get Stamps to add more, labels to organise them, and Blocked Stamps to recover stamps from cancelled signing requests.
