Email Alerts in Contract Management Module

Learn how to configure, customise, and create email alerts for your contracts — from expiry reminders and stage transitions to task deadlines and daily digest notifications.

Overview

The Email Alerts section in Settings lets you manage all notifications related to your contracts. You can toggle pre-listed alerts on or off, adjust their thresholds and frequencies, assign alerts to specific roles, and create new custom alerts tailored to your contract templates.

How to Access Email Alerts

  1. Click on Settings from the left-hand navigation bar.

  2. On the Settings page, click on Email Alerts.

Pre-Listed Alerts

The Email Alerts page displays a set of pre-configured alerts. Each alert can be toggled on or off, and most have customisable settings such as thresholds, frequencies, and alert channels.

Alert of Comment Mentions

Notifies you when someone mentions you in a comment on a contract. Choose between two notification modes:

  • Real Time: receive a notification immediately when you are mentioned

  • Consolidated: receive a single consolidated notification covering all mentions over a period

E-Sign Expiry Email Alert

Sends an email to signatories before the e-signing link expires. Use the counter to set the number of days before expiry that the alert should be sent.

Alert Before Expiry Of Contract

Sends an alert before a contract's expiry date. When enabled:

  • Select the alert channel (Email)

  • Set when you need the alert (e.g. 30 days before expiry)

  • Add additional thresholds using the Add button to receive alerts at multiple intervals before expiry

Alert After Expiry Of Contract

Sends an alert after a contract has expired. When enabled:

  • Select the alert channel (Email)

  • Set when you need the alert (e.g. 15 days after expiry)

  • Add additional thresholds using the Add button

Alert on Transition Of Contract Stage

Sends an alert whenever a contract moves from one stage to another. Select Email as the alert channel and toggle on to activate.

Alert on Ageing Of Contract Stage

Sends an alert when a contract has been in the same stage for too long. When enabled:

  • Set the number of days spent in the same stage after which the alert should be sent

  • Select the alert channel (Email)

  • Set the frequency for this alert by selecting the day(s) of the week to repeat on

Alert on Ageing Of Contract Draft

Sends an alert when a contract draft has been inactive for too long. When enabled:

  • Set the number of days after which the alert should be sent

  • Select the alert channel (Email)

  • Set the repeat frequency by day of the week

Alert on Pending Contract Tasks

Sends an alert for tasks that are still pending on a contract. When enabled:

  • Select the alert channel (Email)

  • Set the repeat frequency by day of the week

Alert Before Contract Task Deadline

Sends an alert before a contract task's due date. When enabled:

  • Select the alert channel (Email)

  • Set the number of days before the due date to send the alert

Alert on Daily Digest Email

Sends a daily summary email covering all contract-related activity and pending items. Select Email as the alert channel and toggle on to activate.

Add Alerts to Role

Click the Add Alerts to Role button at the top right of the Email Alerts page to assign a set of alerts to a specific department or role within your organisation. This ensures that the right team members are notified about relevant contract activities without requiring individual configuration for each user.

Create Custom Alerts

Click the Create Alerts button to set up a new alert tailored to a specific contract template and field.

  1. Select the relevant contract template for the alert

  2. Choose the contract target field that will trigger the alert

  3. Click Save Alert to finalise the setup

  4. Toggle the switch to On to activate the new alert

Conclusion

Keeping email alerts properly configured ensures that no important contract event goes unnoticed, whether it is an approaching expiry date, a stalled draft, or a pending task. Using role-based alerts alongside custom alerts gives you precise control over who gets notified and when, reducing the risk of missed deadlines across your contract portfolio.
