Set Up Custom Labels

Learn how to create and manage custom label categories in the Contract Management module to organise, filter, and report on your contracts more effectively.

Overview

Labels allow you to categorise contracts based on custom criteria relevant to your organisation. By creating label categories and assigning colour-coded labels within them, you can quickly identify, filter, and report on contracts across your repository.

How to Access Labels

  1. Click on Settings from the left-hand navigation bar.

  2. On the Settings page, click on Labels.

This opens the Labels page, which displays all existing label categories. Each category shows its name, the labels within it, and their assigned colours.

Creating a Label Category

Click Create Label Category to start setting up a new category.

  • Label Category Name: enter a name that reflects the category's purpose (e.g. Contract Status, Department, CMS ID)

Adding Labels to a Category

Within each label category, you can add individual labels:

  • Label Name: enter a descriptive name for the label (e.g. Pending, Approved, Branch Service Agreement)

  • Colour: assign a unique colour to each label for quick visual identification

Click Add Label to include additional labels within the same category.

Editing a Label Category

To make changes to an existing label category, click the Edit Label Category button on the relevant category card. The card will switch to edit mode, showing Update Label Category as the title and Update Labels as the section heading.

You can update the category name, rename existing labels, change label colours, and add new labels using the Add Label button.

Click Save Changes to apply your updates, or Discard to cancel without saving.

Conclusion

Well-organised label categories make it much easier to filter and report on contracts across your repository. Since labels cannot be deleted once created, it is worth planning your category structure carefully before adding labels. Keeping label names clear and consistent ensures they remain useful as your contract portfolio grows.
