Overview

The Team & Operations dashboard gives you a complete view of how your team is engaging with the platform and managing contracts. It covers workload distribution, user activity patterns, approval health, AI credit consumption, and contract data completeness — helping you identify gaps in ownership, engagement, and hygiene before they become operational risks.

Key Metrics

At the top of the dashboard, six summary cards give you an immediate view of team and operational health:

  • Highest Portfolio Load — The maximum number of contracts held by a single primary assignee.

  • Fastest Avg. Execution Cycle — Average execution time for the fastest-executing contracts. Requires sufficient executed contract data to calculate.

  • Approval Completion (90d) — Percentage of approvals completed versus all approval outcomes in the last 90 days.

  • Most Stalled Assignments — Total contracts that have been idle in the same stage for more than 14 days.

  • Weekly Active Users — Number of users who logged in at least once in the last 7 days, shown as a percentage of your total roster.

  • Mobile App Enrolled — Number of users with a device token registered, shown as a percentage of your total roster.

Member Workload Analysis

This chart shows active contracts grouped by primary assignee, broken down by their current stage — Executed (active), Internal Review, Negotiation, Sent for E-sign, Requested, and Other. It displays the top 5 contributors alongside an unassigned risk bar.

It helps you understand how work is distributed across your team and identify concentration risks or large volumes of unassigned contracts.

AI insights in this section help you:

  • See the total active contracts held by the top members in the current view.

  • Flag individual assignees with high concentrations that could create bottlenecks if approvals queue up.

  • Highlight the volume of contracts with no primary assignee that may miss escalation routing.

Unique Users & Roster Activity

This combined chart shows monthly unique logins alongside roster coverage percentage, tracked over a rolling 12-month window.

It helps you understand how many users are actively engaging with the platform each month relative to your total CLM roster, and spot months where engagement drops.

  • Identify the peak monthly active user count in the current window.

  • Flag low roster coverage months that may indicate disengagement.

User Role Analysis

This chart shows the distribution of active CLM users by role — Legal, Business, Admin, and Others.

It helps you review your role distribution against your access policy and ensure the right balance of writer and reader roles so day-to-day contract work is not blocked.

User Account Vintage

This chart shows user account tenure grouped into age bands — less than 6 months, 6–12 months, 1–2 years, 2–3 years, and more than 3 years.

Task Health Across Portfolio

This section shows the approval and signing task completion mix across your portfolio, broken down into three categories:

  • Completed approvals — Tasks that have been approved or signed.

  • Pending (≤7 days) — Tasks that are pending but within the due date window.

  • Overdue — Tasks that are more than 7 days past due.

It helps you understand the overall state of your approval backlog and take action to clear overdue items.

Set Turn (Edit-Draft Gate)

This chart shows how contracts are distributed by their Set Turn configuration — which controls who has edit access to a contract draft. Categories shown include Not set (all roles), Business, and Admin.

When Set Turn is not configured, all roles with draft access can edit. Setting a turn restricts editing to the assigned role, giving clearer ownership over the drafting process.

Credits Utilised by AI Feature

This chart shows AI credit consumption broken down by feature, covering all historical data unless a date filter is applied. Each row displays the feature name, total credits debited, and total number of uses.

Features tracked include AI due diligence, Contract creation, AI playbook review, Codex, Smart extract, AI contract obligations, AI contract clauses, AI contract summary, AI copilot, AI playbook generation, Legistify sign summary, Smart extract verify, and Chatbot.

It helps you understand where your AI budget is being spent so you can review the highest-cost workflows and decide which ones to keep AI-assisted.

  • Identify the feature with the highest credit utilisation.

  • Confirm whether the date filter is active or all historical data is in scope.

Contract Hygiene Checklist

This table shows data completeness across platform-level fields for all active contracts, regardless of template. Each row shows a hygiene check, the percentage passing, and the number of contracts currently failing.

Checks include:

  • Has primary assignee set

  • Has counterparty linked

  • Has stage set (not Draft)

  • Has approver assigned

  • Has at least 1 task created

  • Has at least 1 obligation

  • Has expiry / end date set

  • Has tags or labels applied

  • Signed copy uploaded

It helps you identify which data fields are most incomplete across your portfolio and prioritise cleanup sprints to improve data quality.

  • Identify the weakest hygiene check — the field failing across the most contracts.

  • Confirm the strongest check — the field with the highest compliance rate.
