View, organise, and manage all your contracts from a centralised repository with search, filters, reporting, and AI-powered analysis.

Overview

The Repository is the central location where all contracts created in the Contract Management Tool are stored and managed. From the repository, users can view contract details, track their current stage, analyse documents using AI, generate reports, and organise contracts for easier access.

The repository provides multiple views, filters, and search options to help users quickly locate and review contracts throughout their lifecycle.

Viewing Your Contracts

The Repository displays a list of all contracts available to the user.

Each contract row shows key information such as:

  • Company Name – The counterparty involved in the contract

  • Category – The type or classification of the contract

  • Created At – The date when the contract was created

  • Created By – The user who initiated the contract

  • Stage – The current stage of the contract workflow

  • Expiry – The contract expiry date

  • Stage Ageing – The duration the contract has remained in its current stage

You can click on any contract to open it and review the details.

Contract Status Tabs

At the top of the repository page, you will find different tabs that categorise contracts based on their status.

These tabs include:

  • All – Displays all contracts available in the repository

  • In Process – Contracts currently undergoing review or approval

  • Awaiting Sign – Contracts waiting to be signed

  • Executed – Contracts that have been fully completed and signed

  • Expired – Contracts that have passed their expiry date

  • Archived – Contracts that are no longer active but remain stored for reference

These status tabs allow users to quickly locate contracts based on their current stage in the contract lifecycle.

Search Bar

The search bar located at the top of the repository page allows users to quickly locate specific contracts.

You can search for contracts using:

  • Contract title

  • Unique contract ID

  • Metadata fields

This makes it easier to find specific contracts without manually browsing the entire repository.

Ask AI

Each contract includes an Ask AI option that allows users to analyse the contract using AI-powered tools.

Using Ask AI, you can perform actions such as:

  • Identify Key Clauses within the contract

  • Extract Obligations from the agreement

  • Run AI Playbooks to check compliance with predefined guidelines

  • Generate Contract Summaries for quick understanding

These features help users review and analyse contracts more efficiently.

Generate Report

The Generate Report button allows users to download a report containing repository data.

When you click Generate Report, the system prepares a report containing the contracts available in the repository. Once the report is generated, it is sent to the user's registered email address.

This feature is useful for reporting, tracking, and internal record management.

View Button

The View option allows users to manage which contract views are visible within the repository.

You can enable or disable views such as:

  • All

  • In Process

  • Awaiting Sign

  • Executed

  • Expired

Users can also save custom views to quickly access frequently used contract categories.

Filter Button

The Filter option helps users narrow down the list of contracts displayed in the repository.

Contracts can be filtered using attributes such as:

  • Contract stage

  • Contract status

  • Other metadata fields

Filters make it easier to locate specific contracts when managing large volumes of agreements.

Column Settings

The Column Filter option allows users to customise the information displayed in the repository table.

You can show or hide columns such as:

  • Company Name

  • Category

  • Created At

  • Created By

  • Stage

This helps users personalise the repository view based on their workflow needs.

Folder View and List View

The repository supports two viewing formats for organising contracts:

  • Folder View – Displays contracts grouped into folders for structured organisation.

  • List View – Displays contracts in a detailed table format with metadata fields.

Users can switch between these views depending on how they prefer to navigate and manage their contracts.
