Bulk Assignment

This Article helps user easily reassign pre-created tasks and approvals to different users using the Bulk Assignment feature.

Overview

The Bulk Assignment feature lets you reassign tasks, obligations, and approvals that are already assigned to or created by a specific user, and move them to a different user in one action. This is particularly useful when a team member leaves, changes roles, or when workloads need to be redistributed.

How to Access Bulk Assignment

  1. Click on Settings from the left-hand navigation bar.

  2. On the Settings page, click on Bulk Assignment.

Understanding the Bulk Assignment List

The Bulk Assignment page displays a list of all users in your organisation. For each user, the table shows the number of items Created and Assigned across three categories:

  • Task: tasks created by or assigned to the user

  • Obligation: obligations created by or assigned to the user

  • Approvals: approvals created by or assigned to the user

Each user row has two action buttons:

  • Replace: reassign the user's tasks, obligations, or approvals to another user

  • Delete (trash icon): delete all tasks assigned to the user

Replacing Assignments

Click the Replace button next to the user whose assignments you want to reassign. This opens the Replace Users panel on the right. Fill in the following required fields:

  • Update Category: select the category of items to reassign — Tasks, Obligations, or Approvals

  • Replace Type: select whether to reassign items based on Assigned to (items assigned to this user) or Created by (items created by this user)

  • Organisation User: select the user in your organisation to whom the items should be reassigned

Click Submit to complete the reassignment, or Cancel to close the panel without making changes.

Conclusion

Bulk Assignment saves significant time when managing team transitions or workload changes. Instead of manually updating every task and approval one by one, you can move all items from one user to another in a few clicks. Running this whenever a team member leaves or is reassigned helps keep all active workflows accurate and avoids tasks being left unattended.
