How to Initiate a New Notice Entry

Learn how to create a new notice entry in the Notice Management Tool using a customisable template-based workflow.

Overview

The New Notice Entry workflow allows you to log ongoing or new legal notices into the platform using a structured, template-based form. Each template captures key notice details for tracking, reporting, and milestone management. Meta fields on the form vary depending on the notice template configured by your organisation.

Step 1: Choose an Option

Click New from the left-hand navigation bar. A screen will appear with two options:

  • New Notice Entry — upload ongoing or new notices using the platform workflow. A customisable form captures key values for milestone tracking.

  • Legacy Notice — import old and closed legal notices by uploading the file and adding basic notice details for complete digitisation.

Select New Notice Entry to proceed. You can also click your drafts to continue working on a previously saved draft.

Step 2: Select a Notice Type

A Select a notice type screen will appear. Use the dropdown to choose the relevant notice template from the list. You can also use the filters on the right to narrow down the options:

  • Notice Type — filter by New Notice Entry or other available types

  • Entry Type — filter by Single or other entry modes

Click My Drafts to access any saved drafts for this step.

Step 3: Fill in the Notice Form

Once you select a template, the notice creation form opens. The form is divided into sections. The fields shown depend on the template selected by your organisation.

Notice Details

  • Notice Name (required)

  • Notice ID

  • Type of Notice (required)

  • File upload — drag and drop or browse a PDF file (max 200MB)

My Organisation Detail

  • Party Name

  • Address Line

Counter Party Detail

  • Customer Name, Category, Customer Address Line

  • Customer PAN, Bank Name, Bank Branch, Bank City, Bank Account Number, Bank IFSC

  • Customer Email, Customer Contact Number

Account Details

  • Account ID, Customer ID, Product, Product Short, Region, State and other custom fields

Additional fields may include Notice Mode, Advocate Name, RM Name, RM Number, RM Email, Notice Reference Number, Borrower Serial Number, Notice Date, Notice Month, Notice FY, Speed Post POD Number, Service Status and Date by Post, Email, WhatsApp and SMS, Notice Reply Received, Reply Date, and Reply Summary.

Other Files

You can attach additional supporting files at the bottom of the form. Enter a File Name, Description, and select the file. Click Add Files to add more entries.

Step 4: Add Labels, Followers, and Approvers

On the right side of the form, a vertical panel provides the following options:

Labels

Assign one or more labels to the notice for organisation and reporting. Labels are grouped by category, such as:

  • Criticality — high, medium, low

  • Zone — East Zone (Large/Small units), North Zone, South Zone, West Zone

  • Case Slab — value ranges such as 0-25,000, 25,001-50,000, and so on

Your organisation's label categories may differ.

Followers

Select team members who should follow this notice. For each person you can check:

  • Follower — the person will receive notifications about this notice

  • Assign To — the notice will be assigned to this person and they will receive an email notification on initiation

Approvers

Select individuals who must approve the notice before it moves forward. This sets up the approval workflow for the notice.

Draft Saved

The form auto-saves as a draft as you fill it in. The Draft Saved indicator on the right panel confirms your progress is saved.

Progress

A progress indicator shows what percentage of the form has been completed.

Step 5: Submit

Once all required fields are filled in, click the Submit button at the bottom of the form. The notice will be initiated and will appear in the repository. You can view details such as the template, notice stage, title, ID, status, type, subtype, template name, ageing, creation and modification dates, requester, labels, and followers from the notice details page.

The New Notice Entry workflow gives your team a structured way to log and track legal notices from the moment they are received or sent. With customisable templates, label categories, follower assignment, and approval workflows, every notice is captured with the right context for efficient management and reporting.
