Overview
The New Cases feature automatically discovers court cases that match your organisation's keyword groups and surfaces them across three places: Case Explorer, the New Case email alert, and mobile push notifications. This article explains how each of these works, what counts as a new case, and when cases expire or move to archive.
What Counts as a New Case
A court case is treated as new when all of the following are true:
It matches your organisation's keyword group, with your party name appearing on the complainant and/or respondent side
It is not already in your litigation tracker
It was first found within your organisation's aging window (default 90 days)
It has a filing date within that window, or no filing date at all
A case with an old filing date is never treated as new, even if it was only recently discovered by the system.
How Case Explorer, Email, and Push Relate
The three surfaces are not the same list. Each has its own timing and scope:
Surface | What you see | When it updates |
Case Explorer | All Active new cases for each keyword group | Refreshed twice daily at midnight and 5:00 AM IST |
New Case email | Digest of newly discovered Active cases | Morning, typically 8:00 AM IST |
Mobile push | Alert for a case just discovered | Near real time or hourly between 7:00 AM and 10:00 PM IST |
Archived New Cases email | Cases that left Active (expired, tracked, or removed) | 10:00 AM IST |
A case can appear in Explorer and trigger a push on the same day it is discovered, but only appear in the email the following morning.
Case Explorer
Case Explorer shows only Active cases, ordered by newest filing date first. Cases with no filing date appear at the bottom. You can filter by keyword group, court, state, city, case type, stage, filing date, created date, party names, CNR, and more.
The filing date filter in the UI is a strict date range. Cases with no filing date are hidden when you apply a filing date filter, but they still appear in the unfiltered Active list, in email, and in push notifications.
Case statuses
Status | What it means | Typical cause |
Active | Shown as a new case to review | Newly discovered and still within the aging window |
Tracking | Added to your litigation tracker | You clicked Track, or it was already tracked |
Removed | Dismissed from Explorer | You clicked Remove |
Expired | No longer treated as new | Aging window passed, keywords no longer match, or you expired it manually |
Tracking, Removed, and Expired cases stay attached to the group until Saturday night, when they move to archive.
Actions available
Action | What happens |
Track | Case moves to your litigation tracker and leaves Active. Status becomes Tracking. |
Remove | Case is hidden from Active. Status becomes Removed. |
Expire | Case is hidden from Active. Status becomes Expired. |
Un-track / Restore | Case can return to Active only if it has a filing date and that date is still within the aging window. Cases with no filing date cannot be restored this way. |
Auto-add to tracker (optional)
If your keyword group has auto-move enabled, matching Active cases in a slightly older window (by default, filed or added between 7 days and 6 months ago) are automatically added to your litigation tracker every morning at around 7:00 AM IST. This is separate from the New Case email.
New Case Email Alert
The New Case email is sent at approximately 8:00 AM IST with the subject: {number} New Cases Registered | {organisation name}.
Who receives it
A user receives the email only if:
The New Cases alert is enabled for them
They have at least one enabled keyword group
Their alert schedule is due that day (daily, or selected days)
The email goes to each subscribed user individually, not the whole organisation. Excel attachments are included when the org has email alert attachments turned on.
Which cases are included
For each enabled keyword group, the email includes Active cases that:
Were added to Explorer within the alert lookback period (for example, the last 7 days) up to yesterday. Cases discovered today appear in the next morning's email.
Have a filing date within the aging window, or no filing date
Are not already expired or tracked
How the email is organised
Each keyword group section shows cases labelled as either against you (keyword on respondent) or filed by you (keyword on complainant). The email includes:
Total unique cases across all groups
Split between cases against you and cases filed by you
Breakdown by court, keyword, case type, and stage
Preview cards showing up to 4 cases per group
Optional Excel attachments
If there are no new cases, you receive a No New Cases Found email with the date range covered.
Mobile Push Notification
Push notifications fire when a case is first added to Case Explorer, not on updates to existing Active cases.
Who receives it
A notification is created for every member of the organisation, not only users who subscribed to the email.
When a push is created
A push notification is created when all of the following are true:
The case was newly added to Explorer in that run (not an update of an existing Active case)
It was first discovered in the last 24 hours
The filing date is within the aging window, or blank
When it reaches your phone
Mode | Who | Timing |
Realtime | App user with realtime LMT push on | Shortly after discovery |
Hourly batch | App user with realtime push off | Each hour between 7:00 AM and 10:00 PM IST |
Users who have not installed the app still receive an in-product notification record, but no phone push.
Expiry and Archive
When a case expires
An Active case expires for aging if:
It was first stored longer ago than the aging window, or
It has a filing date and that date is older than the aging window
A blank filing date does not expire a case by itself. Cases with no filing date stay Active until the date they were first found ages out.
Example with 90-day aging:
Filed 30 days ago, found yesterday — stays Active
No filing date, found yesterday — stays Active
Filed 120 days ago — never entered Explorer as Active
No filing date, found 100 days ago — expires (found date aged out)
Filed 20 days ago, found 100 days ago — expires (found date aged out)
Other reasons a case leaves Active
Reason | Status | What it means |
Keywords or filters no longer match | Expired | Party names or group filters changed, or the case no longer fits |
Added to tracker | Tracking | Already being litigated in the product |
User removed it | Removed | Intentionally dismissed |
User expired it | Expired | Intentionally closed as new |
Weekly archive
Every Saturday at approximately 11:05 PM IST, all Tracking, Removed, and Expired cases are moved to archive and taken off the live Explorer list. After that they appear in archived and expired Case Explorer views, and in the Archived New Cases email.
Archived New Cases email
The Archived New Cases email is sent at approximately 10:00 AM IST with the subject: {number} Cases Archived | {organisation name}. It includes archived cases with expired status whose archive record falls within the alert lookback period. Up to 3 cases per keyword group are shown as previews, with optional Excel attachments.
Conclusion
New Cases keeps your team informed about court cases involving your organisation as soon as they are discovered, without manual searching. Case Explorer gives you a live view, email gives you a daily digest, and push ensures you never miss a case the moment it is found. Understanding how the three surfaces differ helps you get the most out of each one.
Frequently Asked Questions
Why is a case in Explorer but not in today's email?
The email only looks back through yesterday on your alert schedule. Cases discovered today appear in the next morning's email. Explorer and push can show a case on the same day it is found.
Why did a case with no filing date appear?
That is intended. A blank filing date still counts as new as long as the case was found within the aging window.
Why did an old case not appear even though it was recently discovered?
The filing date is outside the aging window. Recency of discovery does not override an old filing date.
Why did I not get a push notification?
Pushes are only for brand-new Explorer entries found in the last 24 hours. Updates to an existing Active case do not trigger a push. You also need the app installed, and whether you receive realtime or hourly push depends on your push settings.
Does the email go to the whole company?
No. Each subscribed member receives their own email based on their alert settings. Push notifications are created for all org members, but only app users receive them on the phone.
Does tracking a case keep it in New Cases?
No. Tracked cases leave Active and later move to archive. They do not stay in the new case list or the new case email.
