Overview

The Search Bar helps you quickly locate contracts across the platform either by searching contract metadata or by searching for specific text within contract files. It offers two distinct modes controlled by the Search Inside Files toggle.

Feature 1: Finding Contracts (Toggle Off)

When the Search Inside Files toggle is off, the search bar lets you find contracts by their title, unique ID, or any associated metadata fields.

How to Find Contracts:

  1. Navigate to the search bar at the top of the page.

  2. Ensure the Search Inside Files toggle is turned off.

  3. Type a contract title, unique ID, or any relevant metadata field value.

  4. A dropdown will appear showing matching contracts, with the searched keyword highlighted. Each result displays the contract name, status (e.g., Executed, Expired), and expiry date.

  5. The dropdown shows up to 10 results. To view all matches, click "All search results for '[keyword]'" at the bottom of the dropdown or press Enter.

  6. Select a contract from the dropdown to open its detail page.

Key Benefits:

  • Flexible Search: Find contracts using titles, unique IDs, or metadata fields.

  • At-a-glance Results: Each result shows contract status and expiry date directly in the dropdown.

  • Quick Full-List Access: Press Enter or click the bottom prompt to see all matching results at once.

Feature 2: Search Inside Files (Toggle On)

When the Search Inside Files toggle is on, the search bar switches to full-text search mode, allowing you to search for specific words or phrases within the content of executed contracts.

How to Use Search Inside Files:

  1. Navigate to the search bar at the top of the page.

  2. Enable the Search Inside Files toggle. It will turn blue when active.

  3. Enter your keyword or phrase in the search bar.

  4. A list of contracts containing the keyword will appear on the left, along with the number of mentions per contract.

  5. The selected contract will be displayed on the right with the keywords highlighted for easy identification.

  6. Use the up and down arrows to navigate through each mention within the contract.

  7. You can open the full contract view or download the contract directly from this page.

Key Benefits:

  • Precise Full-Text Search: Locate specific words or clauses within contract documents.

  • Keyword Highlighting: See exactly where your search terms appear within each contract.

  • Easy Navigation: Jump between mentions using the navigation arrows.

  • Download Option: Download contracts directly from the search results view.

Conclusion

The Search Bar in the Contract Management Tool is designed to make contract retrieval fast and effortless. Whether you are looking up a contract by its title or metadata, or searching for a specific clause within a document, the two modes of the Search Bar ensure you always find what you need with minimal effort. By making the most of these features, teams can save time, reduce manual effort, and manage contracts more effectively.
